- Once you have decided in which category you wish to invite the candidate to your department, complete the Form DS-2019 Request Form for Coral Gables and RSMAS Campuses - click here.
- Also, issue an offer letter for prospective exchange visitors who will receive payment from UM or a courtesy invitation letter for prospective exchange visitors who will not receive payment from UM. - Submit the completed DS-2019 request form with all required signatures on page 4 and the offer or courtesy invitation letter with all required signatures to International Student and Scholar Services (ISSS), 5600 Merrick Drive, Bldg. 21-F, Coral Gables, FL 33124-5550 with the following attachments (all attachments must be written in English; if an attachment is not available in English, the attachment must be accompanied by a certified translation):
- Prospective exchange visitor's curriculum vitae
- Proof of funding for all non-UM funding (proof of funding must be on letterhead and indicate the amount of funding the prospective exchange visitor will receive from the funding source during his/her time at UM; funding must be listed in U.S. currency)
- Deadline for submission of all required documents listed above is no less than three months prior to the need for the exchange visitor's services.
- Upon receipt of all required documents, ISSS will review the request for Form DS-2019. If the prospective exchange visitor is deemed eligible and qualified to participate in the Exchange Visitor Program, ISSS will issue Form DS-2019 for the prospective exchange visitor (and Forms DS-2019 for any accompanying dependent spouse and minor children) and send Form(s) DS-2019 to the prospective exchange visitor via FedEx, along with prearrival information, Form I-9 completion reminder (only for scholars with UM funding), Health Insurance Requirement Certification, Exchange Visitor Immunization Form (only for scholars at the Coral Gables and RSMAS campuses), and Form I-901.
- The prospective exchange visitor is required to pay the Student and Exchange Visitor Information System (SEVIS) fee and visa fees prior to making arrangements for his/her visa appointment with a U.S. consular office abroad. Visa processing by a U.S. consular office can take anywhere from several days to several months, depending on the U.S. consular office and possible mandatory security clearances.
- Provided the prospective exchange visitor obtains a J-1 visa from a U.S. consular office, he/she must enter the U.S. and attend exchange visitor orientation with ISSS within a certain period of time:
- Up to 30 days before the expected program start date indicated initem #3 of Form DS-2019; and
- No later then 30 days after the expected program start dateindicated in item #3 of Form DS-2019.
Form DS-2019 and the prospective exchange visitor's SEVIS record automatically deactivate if he/she does not enter the U.S. and attend exchange visitor orientation with ISSS within this time frame.

- Proof of funding for all non-UM funding (proof of funding must be on letterhead and indicate the amount of funding the prospective exchange visitor will receive from the funding source during his/her time at UM; all funding must be in U.S. currency)
- Deadline for submission of all required documents listed above is no less than two months prior to the expiration of the expiration of the exchange visitor's current Form DS-2019s.
- Upon receipt of all required documents, ISSS will review the request for Form DS-2019. If the prospective exchange visitor is deemed eligible for an extension of his/her J-1 program, ISSS will extend the J-1 program and issue Form DS-2019 for the exchange visitor (and Forms DS-2019 for any accompanying dependent spouse and minor children) and contact the exchange visitor via e-mail for an appointment with ISSS.

Requesting a Form DS-2019 for a J-1 Scholar/Exchange Visitor to transfer to UM's J-1 Program at Coral Gables or RSMAS from a different J-1 Program:

- Deadline for submission of all required documents listed above is no less than two months prior to the need for the exchange visitor's services.
- Upon receipt of all required documents, ISSS will review the request for Form DS-2019. If the prospective exchange visitor is deemed eligible and qualified to participate in UM's Exchange Visitor Program, ISSS will contact the exchange visitor's current J-1 program sponsor and request that he/she be released to UM's J-1 program at the requested transfer release date. Upon notification by the current J-1 program sponsor that the transfer has been approved, ISSS will notify the exchange visitor via e-mail to visit ISSS on the requested transfer release date. Form DS-2019 for the exchange visitor (and Forms DS-2019 for any accompanying dependent spouse and minor children) will be issued during the appointment with the exchange visitor on the requested transfer release date.

- If you are requesting an amended Form DS-2019 to add non-UM funding: Proof of funding for all non-UM funding (proof of funding must be on letterhead and indicate the amount of funding the prospective exchange visitor will receive from the funding source during his/her time at UM; funding must be listed in U.S. currency)
- Deadline for submission of all required documents listed above is as soon as you become aware of the need for an amendment of the exchange visitor's current Form DS-2019.
- Upon receipt of all required documents, ISSS will review the request for Form DS-2019. If the prospective exchange visitor is deemed eligible for an amendment of his/her J-1 program, ISSS will amend the J-1 program and issue Form DS-2019 for the exchange visitor (and Forms DS-2019 for any accompanying dependent spouse and minor children) and contact the exchange visitor via e-mail for an appointment with ISSS.
