Role-based Training

HR Partner and HR Business Process Initiator (BPI) Training
    • Instructor-led training starting late-February
    • There will be concurrent sessions on both Gables and Medical campuses
    • Training will be assigned to HR Partners and HR BPIs in ULearn

This weeklong course for Workday security roles HR Partners and HR Business Process Initiators will provide the knowledge and tools needed to perform their duties. The HR Partner role is assigned to anyone who performs HR management functions for assigned organizations. The HR Business Process Initiator role has the ability to initiate business processes for the operations they support, but HR Business Process Initiators do not have approval authority.

Objectives: Become familiar with Workday Basics and Employee Data Management and then learn Workday HR business processes relevant to your security roles: Job Requisition and Recruitment, Hiring and Onboarding, Compensation Changes, Job Changes, Multiple Jobs, Termination and Leave Management.


Cost Center Manager Training
    • Instructor-led training starting late-February
    • There will be concurrent sessions on both Gables and Medical campuses
    • Training will be assigned to Cost Center Managers in ULearn

This four-hour course for Workday security roles Cost Center Manager will will provide the knowledge and tools needed to perform their duties. The Cost Center Manager role are those who primary business officer assigned to a cost center or cost center hierarchy. Cost Center Managers are involved in various business processes to assure that costing allocations and organizational assignments are correct. The role will be expanded upon implementation of Finance.

Objectives: Become familiar with Workday Basics and Employee Data Management and then learn Workday HR business processes relevant to your security roles.


Timekeeper Training
    • Online training starting March
    • Training will be available on ULearn as CBLs, and online as tip sheets and video tutorials

Training will provide anyone with the Timekeeper role the knowledge and tools to perform timesheet management and approvals. The role of Timekeeper is for those who perform timesheet management functions for assigned organizations. Examples include: submitting, canceling, and deleting timesheets. Timekeepers will have the approval authority for timesheet business processes.




General Training

Employee as Self Training
    • Online Training starting late-February
    • Training will be available on ULearn as CBLs, and online as tip sheets and video tutorials

Training will provide the Workday user (staff, faculty and student employees) with the tips and tools to manage their own data, preferences, and initiate requests. It important to note that electronic timekeeping and time off will be done through Workday. The Employee as Self role (also referred to Employee Self Serve, or ESS) is given to anyone who has login credentials in Workday.


Manager Self Service Training
    • Instructor-led and online training starting late-February
    • Training will be available on ULearn as CBLs, and online as tip sheets and video tutorials
    • Prerequisite: Manager Core CBL

Training will provide the knowledge and tools for the Workday system designated roles of Manager to initiate and manage HR business processess (i.e. hiring and onboarding, job changes, compensation, etc.) for employees, faculty and student employees. The Manager role is automatically assigned to anyone with one or more direct reports. He/she will have the ability to view business information about their direct reports, e.g. employee’s position, compensation, time-off request and balances, etc. The Manager role can initiate and approve transactions on their direct reports such as promotion, transfer, demotion, compensation change, etc. They will also conduct performance appraisals, if applicable, for their direct reports.

What is changing and who is impacted?
A new system can represent a fundamental change, not only in terms of changing work practices and routines, but also in terms of knowledge. At UM these impacts can be seen in the following groups:



Who will be trained in the new system?
All UM employees will have access to training materials which will enable them to use Workday.

Instructor-led Training will be provided for users with key security roles in Workday, i.e. HR Partners, Cost Center Managers, Business Process Initiators, and Timekeepers.

Online training will be provided for employees who will enter time in Workday and for all employees who will view their payslips, elect benefits, manage personal information, etc. via Workday’s Employee Self-Service (ESS) functionality.

A variety of training materials will be available online: tip sheets, video tutorials, and job aids.


When will training occur?
Instructor-led Training will be available starting late-February 2015.

Online training (tip sheets, video tutorials, and job aids) will be available and communicated to relevant groups prior to implementation.
