Subject: DHRS Access Change for Non-Exempt Employees on Leaves of Absence

Employees that have update and/or approval access and responsibilities for DHRS transactions currently have the ability to access the system when on leaves of absence. Working while on certain types of leave, particularly unpaid leaves, violates U.S. Department of Labor wage and hour regulations and violates University policy. Effective June 1, 2006, DHRS access for non-exempt employees on leaves of absence will be deactivated. Upon a return from a leave of absence for a non-exempt employee (hourly-paid), reactivation of DHRS access will only take place if the employee’s supervisor sends an email to .(JavaScript must be enabled to view this email address) requesting that DHRS access be reinstated. The supervisor should explain the circumstances under which the employee’s access was deactivated, why it should be reinstated and also include the employee’s UM ID number. This applies only to employees that return to the same department they worked in prior to the leave of absence. For employees that return from a leave of absence to a different department, a new access request is needed.

To ensure minimal disruption to your operation under these circumstances, please designate back-up coverage for DHRS transactions in the event that the primary individual responsible for DHRS transactions is on a leave of absence or is unavailable due to other absences.
