1. How long does the Onboarding Function remain in myUM for prehires, rehires, and moves?

Once the Add Person screen is completed, the hire has 31 days to complete the onboarding process in myUM. Once that date expires the only way to re-enable the process is the change the Add Person date to a date 31 days or less from “today."

2. I am a new employee and I completed the onboarding process in myUM, however, I still see the Onboarding message when I log in to myUM. Is this normal?

The Onboarding welcome message will remain in myUM for up to 31 days from the date a hire was added to the system. This allows the hire to come back in case any data needs to be changed. However, once the person is fully hired in DHRS, only normal employee changes will be allowed (this means that some fields will no longer be available for update).

3. I am a departmental submitter processing a new hire document. I am getting an error because some biographical fields are blank. Where do I get the information to populate these fields?

To populate the fields, you must contact the hire so they can do this via myUM. If the 31 days have expired, the Add Person date must be changed to a date 31 days or less from “today”.

4. I am a returning employee and I was unable to update my name in the onboarding process in myUM. Who do I need to contact to make changes?

Only a Central Office is authorized to make changes to names, birth dates and visa/citizenship information for current and re-hired employees. First, ensure that you complete the Personal Data Change Form. Provide appropriate documentation for the change, i.e. copy of marriage certificate, divorce decree, etc., including a social security card with the new name.

5. I am a returning employee and I was unable to update my citizenship status in the onboarding process in myUM. Who do I need to contact to make changes?

Only a Central Office is authorized to make changes to visa/citizenship information for current and re-hired employees. First, ensure that you complete the Personal Data Change Form. Provide appropriate documentation for the change, i.e. visa extension, naturalization certificate, US passport, etc.
