A
Academic Advisement: One of the components of the Campus Solutions module. Equates to "Degree Audit" in UM legacy systems (PDIMS/DB2).

Academic Career: Groups academic work taken by a student at an institution into one record. A career can be considered a student's primary path or purpose for attending an institution (undergraduate student, graduate student, non-degree student, law student, medical student). Depending on the Academic Career, applicants are eligible for specific Academic Programs, Plans, and Sub-Plans that fall underneath the career.

Academic Group: Colleges and schools that make up an Academic Institution as a whole.

Academic Institution: Units that operate as completely separate universities and colleges.

Academic Plan: Identifies the field of study or curriculum a student has chosen to pursue within his/her Academic Program. Can be defined as Majors, Concentrations, Minors, Programs, Honors. Plans are associated with either an Academic Career or an Academic Program.

Academic Program: Generally equates to college and/or school. Students are admitted to and graduate from Academic Programs. Students can be active in multiple Academic Programs across multiple Careers. Students establish a Primary Academic Program for each Academic Career in which they are active. Academic Programs at one institution may be defined entirely differently than at another institution.

Academic Structure: One of eight segments comprising Campus Solutions (Student Administration Services) module; basic framework established before other segments can run.

Academic Sub-Plan: Is directly associated with an Academic Plan and can be used to represent further specialization in a specific area of study or curriculum (i.e. concentration).

Admissions and Recruitment: One of the components of the Campus Solutions module.

Bio-demographic (bio-demo) data: Basic information about an individual, including name, address, telephone number(s) email address, gender, ethnicity, etc.

Business Process: Written descriptions of steps to be followed to accomplish a specific business-related task.

Campus: Individual administrative unit and location that is part of an Academic Institution. In general, a Campus is a separate physical entity that operates as an administrative unit or provides a dedicated function for an Institution.

Campus Community: One of the components of the Campus Solutions module. Campus Community groups together all "person information," including bio-demo data, activities, etc.

Campus Solutions: A comprehensive suite of software from Oracle that is one of the PeopleSoft Enterprise Applications and is designed for higher education.

Career: See Academic Career.

Component: A group of related pages.

CRM: Constituent Relationship Management - Application used to manage relationships with our constituents.

Customization: Also called extension, a technical change to an out-of-the-box PeopleSoft system. For example, adding fields to a page, changing the logic of the application, and rearranging a page are all examples of modifications. These can range from simple to very complex.

Data Migration: This is the process of extracting data from the current student system into the proper form to import it into PeopleSoft Campus Solutions.

Data Security : Means of protecting a database from destructive forces and the unwanted actions of unauthorized users.

Data Warehouse: This is a data base that serves as a repository for data extracted from many different sources.

Document Imaging/Document Management: Managing paper documents by imaging (scanning) them into an electronic system, then indexing and filing the electronic versions for future retrieval and use by approved end-users, then appropriately disposing of the paper documents.

Effective Dating: A means of capturing data for a given field over a period of time. For example, a record of all address changes and their effective dates is retained.

Emplid: The unique eight-digit number is used internally to identify people in Campus Solutions.

ERP: Enterprise Resource Planning. The university is an “enterprise” and an ERP solution integrates all functions—financial, human resources and student information—into one administrative system.

IDP: Interactive Design and Prototyping. This is an analysis of business processes and requirements conducted by the Cedar Crestone consultants . New, improved "fit/gap." Specialists and subject matter experts look for fits and gaps as well as actually designing and populating data tables and setting up programs as they proceed; a prototype of the final system is the result.

Interface: A computer program whose purpose is to transfer data from one system to another.

Integration: Coordinating data from different sources so it moves seamlessly from one module to another.

Just-in-Time Training: Training on any given task that is offered as closely as possible to the actual time when a user will begin using the new system to accomplish that task.

Legacy Systems: The computer software structures that have evolved over the years in the University of Miami.

MyUM: The current system through which employees and students access University of Miami administrative computing functions.

Navigation Pages: An alternative means to access components within a menu folder.

Oracle: The vendor that sells PeopleSoft Campus Solutions. Oracle is probably best known as a database company.

P
Page: Display and data entry screen.

Page Element: An icon, link, or button with a standard use that appears on pages. For example, the calendar button can be used on many different pages to select a date.

PDF Format: A file format created by Adobe (www.adobe.com) to facilitate electronic transfer of formatted files. For example, reports may be generated in PDF format by the financial management system.

PeopleSoft: Oracle bought PeopleSoft several years ago. The PeopleSoft suite of products includes Campus Solutions, our new student system.

Permission List: An approval of a mode of access to a resource that is assigned to role. Permission lists store sign in times, page access, web services access, and so on.

Plan: Generally equates to terms "major" and "minor". See "Academic Plan."

PMO: Project Management Office.
Portal: A portal is a web page that serves as an entry (portal) that allows a user access to multiple databases with only one sign-on.

Q
Query: A limited-access reporting tool that allows a user to view data results.

Role: Job function or title which defines an authority level that link user profiles to permission lists. Some examples of roles might be Employee, Manager, Customer, Vendor, and Student.

Search Match: Powerful tool used to determine whether a person is in the database.

Service Indicator (negative or positive): Appears as star icon (positive) or circle-with-slash icon (negative). Negative service indicators equate to "holds". Positive service indicators can be used to indicate other information about a student, such as "Dean's List."

Single Sign-on: Refers to the ability of users to navigate freely within a system of multiple applications after only being authenticated once.

SME: Subject matter expert.

Student Center: Tasks students can do for themselves online (updating addresses, phone numbers, email addresses, getting information, registering for courses, checking grades and paying bills).

Student Financials: One of the components of the Campus Solutions module.

Student Records: One of the components of the Campus Solutions module.

Sub-plan: Equates to the term "concentration". See "Academic Sub-Plan."

UPK: User Productivity Kit. This is an Oracle tool used to produce documentation and training materials.

User: A person or software using a generic or information system.

User Profile: Defines an individual PeopleSoft user. Each user has an individual user profile, which in turn is linked to one or more roles.
