Direct Charge of Air Travel

Direct Charge is available to all University travelers for their business air travel. Direct Charge is quick and convenient as it facilitates charges directly to departmental accounts and is available to all UM travelers for the purchase of airline tickets EXCLUSIVELY through the designated University Travel Agencies.

 Due to the erosion of qualifying fare bases for the 12% American Airlines discount program, the University of Miami discontinued this program and implemented the American Airlines Business ExtrAA program in April 2004.  The Business ExtrAA program awards points (soft dollars) to the University for Travel booked with American Airlines, American Eagle?, and AmericanConnection?.

 

Double Dip:

Points awarded to the University are earned in addition to points awarded to the individual's American Advantage membership.

 

The University of Miami will receive Business ExtrAA points for every purchase of qualifying tickets when the traveler references the University of Miami's Business ExtrAA membership number 521868. This applies to purchases made online with e-Canes Travel, at the American web site and/or through a traditional travel agency.

 

 

 

 

 

 

The University currently has an "Accountable Plan" for employee business expense reimbursements.  Under Internal Revenue service (IRS) regulations for an accountable plan, air fares tickets are required to meet three conditions:
 

 

1.   There must be a legitimate business purpose.

 

2.      It must be substantiated presenting the following three documents:

 

--        Travel Advance Request (TARF)

-        Receipt that shows the amount charged for it

-       Boarding Passes (proof of taking the trip)

 

3.   Any excess amounts of cash advance not used must be returned.

When coming back from a trip you have 10 days to complete the BERF and include the above documents with it and all other supporting receipts for which you are requesting reimbursement.
